Our professional maintenance team is looking for an administration assistant to join us. This person is the first point of contact in our workplace, whose job is to help coordinate and manage daily operational duties within our busy organization. At this time, we are looking for part time candidate to join our team, however there is room for this to turn into a long-term career in aviation with a local family owned and operated company.

In this position you will be required, but not limited to the following duties:

 Answer and direct phone calls in a professional efficient manner

 Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies

 Organize and schedule appointments, maintenance events and staff duties working directly and efficiently with the manager of the operation

 Plan and schedule crew meetings, ability to take detailed minutes

 Write and distribute email, correspondence memos, letters, faxes and forms

 Administrative duties such as filing, copying, binding and scanning

 Assist in the preparation of regularly scheduled reports, upholding an exceptional record of all transactions

 Develop and maintain a detailed and organized filling system

 Update and maintain office policies and procedures manuals

 Research new suppliers and contacts maintain a database of business suppliers and vendors

Qualifications 

 This position will report directly to the Director of Maintenance. The primary responsibility of this role is to work with management, employees, and our customers to ensure exceptional service and workflow. The ideal candidate will possess the following skills and credentials:

 Proven experience as an administrative assistant or busy office environment, experience in the aviation sector will be considered a strong asset

 High School graduation

 Knowledge of office management systems and procedures

 Working knowledge of office equipment, like printers and fax machines

 Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

 Excellent time management skills and the ability to prioritize work

 Attention to detail and problem-solving skills

 Excellent written and verbal communication skills

 Strong organizational skills with the ability to multi-task

 Ability to work independently, as well as in a group environment
