The Administrative Assistant reports to the Executive Director and is responsible for the initial contact with clients and assisting staff with administrative functions.  

Primary Duties:

  • answer incoming calls and greet in person traffic
  • assess clients enquiry and provide information or refer to another source
  • open mail, retrieve e-mails and facsimiles and deal with or distribute as appropriate
  • coordinate, attend and record meetings as assigned
  • compile data for month end and quarterly reports

Secondary Duties:

  • maintain accurate records and file documents for staff
  • maintain corporate files
  • ensure client data is recorded appropriately in our files/data bases as well as other necessary agency files/data bases
  • maintain and order office supplies

Other Related Duties:

  • assist other staff when necessary 
  • keep reception area in good order
  •  Some travel and evening or weekend work may be required


  • programs, services of CF
  • community resources and other government programs that effect our clients
  • routine office procedures
  • Microsoft Office Software

Education and Experience:
