Position Summary: The Executive Assistant to the Chief Councilor’s role is to provide consistent confidential and high-level executive support to the Chief Councillor, with emphasis on ensuring smooth functioning of the Chief’s Office with timely and effective follow-up of decisions.
Key Accountabilities:
• First line of contact to the Chief Councilor.
• Work collaboratively and foster relationships to streamline support and communications between the Chief Councilor, Executive Council as well as Internal and External Government officials.
• Provide support to Huu-ay-aht First Nations (HFN) self-government initiatives.
• Provide efficient and effective administrative support for the Chief Councillor’s political activities and responsibilities, using strong initiative and judgment.
• Maintain confidentiality and neutrality at all times.
• Good understanding of First Nations governance structure.
• Promote a performance-focused environment in alignment with the HFN’s values, culture and business goals.
• Work collaboratively with Executive Assistant to Executive Director to ensure quality communication between HFN Departments and Committees.
Job Duties:
• Field queries coming into the Chief Councilor’s Office
• Assist with developing and drafting of government practices as directed by the Executive Council.
• Maintain up-to-date files on best practices on all policies and standards.
• Coordinate meetings, prepare meeting agendas, prepare correspondence and distribute information in a timely manner, to Executive Director, external organizations and Government Agencies.
• Manage the Chief Councilor’s schedule, including: fielding calls, emails and arranging meetings and travel; field media calls as per HFN’s communications protocol,
• Plan / co-ordinate public events and conferences, organizes teleconferences, make travel arrangements and create travel itineraries for the Chief Councilor.
• Prepare materials, assist and coordinates meetings that are to be convened by the Executive Council, maintain and coordinate agenda items and requests, take minutes and document decisions and action items from meetings.
• Draft, review and edit documents, including meeting minutes, reports and letters.
• Obtain signatures for documents as necessary.
