Events Management

The Events Coordinator is responsible for the planning, organization, and execution of all events including (but not limited to): private, tour and travel, corporate, government, and local events. Your goal will be to plan and organize (from start to finish) all bookings to ensure a successful event. Serving as the main contact for the above listed groups, you will be tasked with making sure no detail is missed. You will act as the coordinator/liaison between the client and the hotel. You will provide support to the food and beverage team to ensure plans translate into action. This role is fast paced and provides an opportunity to be a key part of our sales and event team.

Primary Responsibilities:

  • Act as a point of contact for clients
  • Meet with clients and perform site inspections/tours as required
  • Maintain a consistent level of Conference Planning Guides, Brochures
  • Respond to client inquiries and complaints
  • Create contracts and estimated quotations to the clients
  • Book groups using the reservation system
  • Prepare and organize all documents pertaining to each event
  • Ensure proper set up of event
  • Ensure Banquet supplies for tables and service is available for each event.
  • Act as the lead and main contact on event day(s)
  • Provide support to the events team
  • Collaborate and coordinate with other departments
  • Develop effective client relationship management
  • Follow-up with payment
  • Assist the team by setting and meeting monthly goals
  • Coordinate with team by managing calendars, organizing clients files and documents, and communicating client information to reps, management, or other staff as needed
  • Keep inventory of our sales/marketing materials (i.e. business cards) and order new ones when appropriate
  • Make group room reservations and function/venue reservations
  • Creating and Maintaining an effective service team
  • Scheduling and payroll
  • Other tasks as required
  • Develop and maintain positive working relationships with others
  • Support team to reach common goals
Qualifications 
  • Supervisory experience a must
  • Post- Secondary Degree – preferably in Sales and/or Event Planning
  • Proficient in Microsoft Office, emails, reservation systems
  • Proven experience in sales environment
  • Experience managing a team or department
  • Sales and rooms experience
  • Knowledge of hotel industry
  • Experience with creating and reading budgets, income statements, financial documents, and reports
  • Fluent in English
  • Excellent written and verbal communication
  • Strong communication skills and problem solving skills
  • Highly organized
  • Ability to make deadlines and work under pressure
  • Team oriented
  • Customer service experience
  • Committed to exceeding the expectations for internal and external guests
  • Ability to work in a fast paced- environment
  • Experience in administration an asset

The Events Manager will work closely with the Director of Sales and Marketing assisting with wedding event planning as required. Such tasks may include set up and tear down of events, serving/bartending as required, making reservations, creating invoices, taking payments, and assisting with the sales team’s schedule.
