The Administrative Assistant plays a key role in ensuring the smooth operation of the Hub and Tofino office by providing comprehensive administrative support. This position is responsible for coordinating office activities, directing referrals to appropriate staff, maintaining organizational systems, and facilitating communication between staff, clients, and external partners. The role involves handling daily administrative tasks, managing correspondence, assisting with scheduling, and supporting office operations to enhance efficiency.

In addition to administrative duties, the Administrative Assistant contributes to social media management, website updates, and general outreach efforts to support the organization’s mission. A background in family support services or related work is highly beneficial. This position requires strong organizational skills, attention to detail, and the ability to work both independently and collaboratively in a fast-paced environment. Union membership is required.

 

Qualifications 
  1. High school diploma with relevant business administration training or equivalent education and experience
  2. Experience in non-profit organizations, public relations, or anti-violence against women programs (preferred)
  3. Demonstrated working knowledge of Microsoft Office (Word, Excel, Outlook)
  4. Skilled in social media management, including content creation, scheduling, and engagement
  5. Experience in website management, including updates and content maintenance
  6. Strong knowledge of office management systems and procedures
  7. Background in family support work or a related field (preferred)
  8. Excellent time management skills and ability to multi-task and prioritize work
  9. Attention to detail and problem-solving skills
  10. Excellent written and verbal communication
  11. Strong organizational and planning skills
  12. Successful criminal record check
  13. Level 1 First Aid with CPR
  14. Food Safe certification (preferred)
  15. Non-violent crisis intervention training (preferred)
