Essential Job Functions:

  • Keep accurate inventory of parts and accessories
  • Monitor sales of parts to track movement
  • Liaise with Warranty Administrator to facilitate warranty returns or re-orders
  • Assists in resolving discrepancies between the computer inventory and parts on hand
  • Assist with physical inventory preparation and counting
  • Maintain parts area in a clean and well-organized manner; keep work area clean and organized
  • Process and submit daily and Special Order Parts requests, collect deposit or full payment; notify Service Department and customers upon arrival of Special Order Parts
  • Liaise with the manager to set stock levels and selection of items for weekly and special parts orders
  • Assist in receiving and stocking parts orders; inspect parts received to ensure they are correct and damage-free
  • Monitor inventory shipments and purchase orders to ensure accuracy; resolve discrepancies and follow-up; maintain accurate records
  • Inspect and confirm incoming warranty parts are correct and in satisfactory condition and report to the Warranty Administrator
  • Facilitate timely returns and item credits from shipper and supplier when items are incorrect or damaged when received
  • Generate stock orders as recommended
  • Revise order quantities as needed and prepare order reports
  • Set up and monitor orders for daily shipment, delivery, or pick-up
  • Prepare technician parts orders to ensure timely, efficient handover of parts to technicians
  • Maintain regular communication with Service Advisors regarding the status of repair orders, parts on order, etc.
  • Maintain an awareness of seasonal requirements for parts and accessories
  • Assist customers with requests for RV parts and accessories, including answering phones and front counter sales
  • Promote Arbutus RV-supplied parts and accessories
  • Ensure all parts requested are accepted by the person paying before ordering
  • Collect payment from customers
  • Inspect vehicle or RV to confirm the parts necessary to complete repairs or installations
  • Schedule installation appointments with designated service staff
  • Schedule, document and facilitate timely customer updates on their parts order progress
  • Schedule, track and facilitate outside repairs when required
  • Communicate effectively with customers and staff in a professional and courteous manner
  • Deal with customer complaints courteously and promptly and forward to management

Health and Safety Considerations:

  • Strict adherence to all health and safety policies is necessary
  • Ability to lift parts and accessories up to 25 lbs.
  • Ability to sit and stand for long periods
  • Able to work comfortably with computer equipment, including monitor, keyboard and mouse
  • Bending, lifting, kneeling, reaching
  • Ability to deal with customers, vendors, management, and co-workers using calm, effective and courteous language
